Ordering a Cake on WhatsApp in Bali: What to Send and What to Avoid

WhatsApp is still the default way to order a custom cake in Bali — even bakeries with full online checkout get half their orders through chat. But a vague "hi, I need a cake" can stretch a 5-minute order into a day of back-and-forth.

Here's the message structure that gets you a same-day quote and a confirmed slot fast.

The first message that gets a fast reply

Bakeries in Bali field dozens of inquiries a day. The orders that get answered first include all the essentials up front. Send this in one message:

  • Date and time the cake needs to be ready
  • Delivery area (Canggu, Seminyak, Ubud, Uluwatu, etc.)
  • Number of people / cake size you have in mind
  • Flavor preference (or "open to suggestions")
  • Photo or short description of the design you want
  • Your budget range, if you have one

What slows the conversation down

Sending one detail per message turns a 3-message thread into 20. Asking for a quote before you've picked a size or a date forces the bakery to guess. Sending blurry reference photos taken at night gets you a printed cake that doesn't look like the inspiration.

Bali bakeries also get a lot of "is this available?" messages from people who never follow up. Leading with a clear date, a delivery area, and a budget signals you're serious — and you'll get prioritized.

What photos to send

For frosting prints especially, the image quality determines the cake quality. Send:

  • Original phone photos — not screenshots of Instagram posts
  • Faces straight-on with good lighting (no harsh shadows)
  • Logos as PNG with transparent backgrounds where possible
  • For inspiration cakes, send 2–3 references so the bakery can read the style

How payment usually works

Most Bali cake shops take a 50% deposit via bank transfer or QRIS once the order is locked in, with the balance paid on delivery in cash or QRIS. For same-day orders some bakeries want the full amount upfront — that's standard, not a scam. Always confirm the payment method in writing on WhatsApp before transferring.

When to skip WhatsApp and order online

If you're comparing flavors, frosting colors, or design styles, online ordering with a live preview is faster than a chat. Our own site lets you pick a base, choose a frosting, upload your photo, and see the cake topping before checkout — about 3 minutes end to end. We then confirm on WhatsApp once the order is in.
